Overview

Sangoma’s Send application provides authorized users the ability to send a notification via email or text/SMS message to lists of recipients. This can be useful for campaigns, weather alerts, business hours changing, Employee Alerts etc..

Sangoma’s Send application consists of the following major components:

  1. Contacts: Contacts are the individual that notifications are sent to.
  1. Mailing lists: A mailing list is a list of contacts that you can send notifications to.
  1. Labels: Labels provide a method to group contacts. By adding labels to contacts, a group of contacts with the selected label can be added to a mailing list.
  1. Notifications: A notification is the message that will be sent to the contacts.
  1. Acknowledgement forms: Acknowledgement forms provide a method for the notification recipient to respond to the notification.

How is this application accessed?

It is a cloud based application, so no installation required.

Soon users will also be able to access Sangoma Apps from within TeamHub.

Will I require new credentials to access the Sangoma Send app?

No, the Sangoma Send app utilizes your Existing Sangoma Business Voice credentials.

Can anyone be a recipient of Sangoma Send Notification output?

Yes, anyone with an email address, and/or a USA or Canada number that is capable of receiving SMS can receive notifications.

Do the recipients need to have opted in to receive SMS and email notifications?

You can send to any SMS or Email but it is very important per best practices in the marketing and telecom industries, that before uploading contact info, you should be certain that the recipients have opted-in and given your company consent to this.

Is there a way to have my customers subscribe directly to the mailing list?

This can be accomplished through the self-subscription where users subscribe directly to the mailing list within Send. This is a link that is accessed through the mailing list tab. You can copy and paste the self-subscription link into your website.

What is a 10DLC Campaign ?

10DLC refers to a ten digit long code number, and “Campaign” refers to the registration in a special registry that is designed to control spam. Sangoma registers your company in this system and creates a brand and campaign for your SMS number. The campaign will determine if the mobile operators accept or block the SMS you are sending.

Is there a limit to the number of notifications that can be sent per campaign?

Yes, there are two factors:

  1. Based on the limitation within the SMS package that was purchased.
  1. Based on the type of campaign that is associated with your company and the number. The registered campaign will be the limit on the throughput and volume of SMS messages applied by the receiving carriers. Sangoma experts can advise on limitations applicable to your specific campaign use case.

What types of notifications can be sent via the Send app?

Email, Text or SMS Message.

Do I need to import or key in my list of recipients?

Contact lists can be manually added, or imported from a CSV file. In the CSV file you can include information in the label field, and then add contacts by label into mailing lists. Please use the template that you can download in the import function, which will ensure you have the correct column headers.

Can I export my current Contact list?

Yes, within the Contact maintenance area, you can export and import contacts, so long as the imported contacts have opted in to receive your SMS and emails through a prior method.

Can I choose the message modality?

You can add contacts with a SMS and / or Email address, and each notification template has both modalities.

Do I need to send all messages to all recipients?

You can create specific mailing lists from your contacts for each audience you want to send to.

Can I create and maintain smaller groups within my complete contact list?

Yes, by adding Labels to your contacts. Adding labels to contacts provides the ability to add contacts to a mailing list based on the label. A contact can have one label.

What will the message notifications include?

Message Notifications will contain a subject, a short message, and an optional web link to more information online. All of this must be sized to be delivered in a single SMS message.

You must manually add in the self-registration link to each SMS and Email you write (or copy previous as a template) in order to provide the necessary opt-out feature.

How large can message notifications be?

Standard SMS and Email limitations apply.

Can texts or emails include URLs?

You can include a URL as long as it meets the terms of use.

Note: This is an area of mobile SMS marketing that is undergoing some change. Some mobile operators may block URLs in the future. We will be monitoring these changes accordingly. But the Send service utilizes URLs for response as well as unsubscribe functions. You may include additional URLs in the body of your SMS.

Can a message be triggered from the response message web page?

Yes. The response request page can be designed to have buttons that the recipient can click to respond to business, for example to acknowledge receipt or to respond to surveys. .

How large can a response request message be?

A response request message can be up to 1024 characters long, including spaces.

Does the Sangoma Send application offer any reporting?

Yes, you will be able to view export message recipients and acknowledgements if applicable. Both applications show a historical view of message batches and allow the user to determine which recipients have responded.

Does the Sangoma Send application allow recipients to Opt Out of future communications?

Yes, you must include by law the opt out link that is available under self service in the mailing list. There is an inherent assumption that the sender has permission to send to the recipients, and the sender would be responsible for manually removing contacts from the list of recipients. Anyone that wishes to no longer receive notifications/messages must make their request known to the sender/application manager, or use the self registration feature to opt-out of the mailing list.
